Excel Tip – Using The Workday Function To Calculate Status Of An SLA

This article will explain how to use the WORKDAY function combined with the IF function to calculate how many workdays have passed from one day to the next.

I don’t know about you, but our IT department at work has a Service Level Agreement (SLA) of eight days. That’s eight working days, so we can’t really push them for updates until that time has passed. So how can we quickly work out with Excel how long it has been since we made the logged call and if the event is still within our agreed upon SLA?.

So, we can try to use the usual TODAY() function which is useful for calculating intervals between a given date and the current day.

Let’s look at an example where it’s been a few days since we recorded that IT call. Today’s date is August 4, 2015. We registered an IT call on 27th July 2015. So if we used the following formula.

=TODAY () -B3

(Our date with the input call is in cell B3). This will result in 9 days.

That’s all well and good but if we need to only be interested in the days that IT works (in which case we specify that Saturday and Sunday are non-working days), we need to add a little more to our formula. do to include. consider non-working days, so they are ignored in the calculation.

So, we’re back to our IT call. We know that the threshold is 8 days available, then we can get Excel to show if the date difference from the time of the login call to the current date is greater than 8 of this threshold. If it is then it is out of SLA and if it is less than or equal to 8 working days it is within SLA.

Let’s go ahead and build our formula starting with an IF function

=IF(B3<=WORKDAY(TODAY(),-8),"Outside SLA","Within SLA")

The logic of the formula is that if the date in cell B3 is less than or equal to today’s date or less than 8 working days (not Saturday or Sunday) then display Out Of SLA, if this logic is false then within Show SLA. This formula gives us the result of 7.

So we now know if the IT department can be contacted because they are outside of their accepted SLA to get around my IT question.

This formula is really useful for many uses, including project tracking of dates and milestones.
