How to Search in Excel

Not all of us are experts on MS Excel. Although the interface is very user friendly, most of us are not that skilled in the application especially those who rarely use computers to enter data consisting of numbers. Excel is a great tool for calculations and to learn its full capabilities, we need to know about its features and functions. One of them is learning how to search in Excel.

If you want to see the data in Excel, it is almost in Word. You press CTRL+F on your keyboard and then you type the words, text or characters you want the application to find. Then, it will take you to the cell where the data can be found.

However, there are some situations where it can be a bit confusing, such as when you search for data with asterisks, question marks, and tildes. All these letters have specific meanings in the given application. So, if you try to search in Excel using CTRL + F and *, ~ or? type, you won’t get what you’re really looking for. For example, if you type an asterisk in the Find What box, you’ll automatically select the next cell you’ve been to. It’s time to edit by putting a tilde in front of the character you’re looking for. For example, if you want to insert an asterisk, you type “~*” without the quotes. For tilde and question mark, you can use “~~” and “~?” as well.

Now, what if you already have a lot of spreadsheets and you want to search for a number or string just the way you do it using CTRL+F? You can even eliminate tasks using a single command that lets you navigate through Excel easily and quickly. You can even edit your files but be careful because it can be a bit dangerous for your file if you don’t follow carefully.

Let’s say you have three files and you want to search for a specific row in all of them in Excel. First you go to the bottom of the Window and right click on one of the file tabs. A shortcut menu will then appear. Click on Select All Files. This is now known as Group mode. Now, call the Excel search function dialog box by pressing CTRL + F on your keyboard. Enter the line you are looking for and press Enter. If the string you typed exists, Excel will find it for you.

If there are more events you want to search in Excel, click Find Next. Now here is the important part. Once you’re in Group mode, click on an inactive file tab or right-click on the active one and select “Ungroup Pages”. If you forgot to exit Batch mode, all changes you made to a single file will be applied to other files as well.
